How Event Apparel Pricing Actually Works in Cowpens

Most event apparel budgets get built backward. Someone picks a shirt they like, gets a price, multiplies it by a guess at headcount, and then finds out the number moved once art, ink colors and a second garment style got added. That is where event orders go sideways. The fix is boring and it works. Decide what the shirt has to do first, staff visibility or attendee keepsake or sponsor placement, then set a per-piece ceiling, then choose the garment that fits under it. Custom t-shirt printing in Cowpens is cheap to get wrong at 300 pieces. We quote event apparel the other direction, price first, garment second.

DTF printing is what we run most for events. The design gets printed onto film, then heat pressed into the shirt, so a twelve color logo costs the same to run as a two color one and you are not paying per screen. That matters when your sponsor sheet keeps growing. Embroidery goes on hats, polos, quarter zips and jackets, which is usually what the organizing committee and the volunteers end up wearing because it survives a season instead of a weekend. Screen printing enters the conversation once you are over 48 pieces of the same design, where the per-shirt cost drops hard and stays down.

The people calling us out of Cowpens and the rest of Spartanburg County are running things. Church and ministry events, school spirit weeks and booster club tournaments, nonprofit fundraisers and 5Ks, festival and vendor market organizers, restaurants doing a launch night, construction and trade crews who need company shirts on the jobsite Monday. Small businesses order custom hoodies for staff and lighter tees for the crowd. Retailers order to sell, not to give away. What they share is a date that does not move and a budget somebody else already approved. Both of those shape how we quote and how we schedule.

Event orders come with two numbers nobody has yet, final headcount and the split between staff and attendees. We do not need either one to start. Give us a range and a rough ratio, say 40 staff in navy and somewhere between 200 and 300 attendee shirts in white, and we will price the range so you can see what the top and the bottom of your budget actually look like.

The Parts That Worry People

Every event organizer we talk to is carrying the same four fears, and all four of them are about money or about the calendar.

We do not have a final count

Almost nobody does. Give us a low number and a high number and we will quote both so you can see the spread. Lock the real count when registration closes. We build the schedule around that date, not around a guess.

The date cannot move

Then we work backward from it. Standard turnaround is 5 to 7 days after you approve the proof, so we set an art deadline and a proof deadline ahead of that. Tell us the in-hand date on the first call and we will tell you honestly if it fits.

Staff and attendees need different colors

That is normal and it does not cost extra with DTF. Same artwork, one color of shirt for the people working and another for everyone else. Sizes and colors split across the twelve piece minimum, so a 40 and 260 split is one order, not two.

Last shop went over budget

Usually because the quote covered garments and one print location, then art fees, a back print and a second style got added later. We put the whole thing in writing before you commit, per piece and total. If something changes the number, you hear it before it is printed.

What Event Organizers Actually Order

Six things cover almost every event we print for. Most orders mix two or three of them, one run for the people working it and one for everybody else.

Event T-Shirts, DTF Printed

Soft cotton and blend tees printed by DTF, which means full color art, gradients and sponsor logos with no extra charge per color. Twelve pieces gets you started, and you can split shirt colors across the same design at no penalty.

Hoodies and Crewnecks

Hoodies and crewneck sweatshirts for fall and winter dates, volunteer crews, and anything where people are outside after dark. Heavier fabric holds a print well. Order these for staff even when attendees are getting tees.

staff favorite cold weather dates heavier fabric

Embroidered Hats

Embroidered caps, trucker hats and beanies. Stitching reads clean at small sizes, so keep the mark simple and skip the fine text. Hats work well as a thank you for committee members and volunteers who show up every year.

Embroidered Polos and Workwear

Polos, button downs, quarter zips and jackets with your logo stitched on the left chest. This is what your leads and your check-in table wear so attendees can spot a person to ask. It outlasts the event by years.

Bulk Screen Printing

Once one design crosses 48 pieces, screen printing usually beats everything on cost per shirt. Ink goes down thick and holds up wash after wash. Best for a single design and a limited color count you can lock early.

Fundraiser and Merch Runs

Shirts you sell rather than hand out. We help you set a per-piece cost you can price against, run a size curve that does not leave you with 40 unsold 3XLs, and print it in one batch or two.

How an Event Order Runs

1

Tell Us The Date

Start with the in-hand date and a headcount range. We work the calendar backward from there and tell you what has to happen and when.

2

Price The Range

You get a written quote showing the low count and the high count, per piece and total, with garment, print and any second location included.

3

Approve The Proof

We send a digital proof with sizing and placement marked. Nothing goes on a press until you sign off in writing on the artwork.

4

Print And Deliver

Production runs 5 to 7 days after approval. Orders ship or get delivered, sorted by size and color so your team is not counting boxes.

Event Apparel Questions We Get

Yes. We work out of the Greenville Upstate and serve Cowpens and the rest of Spartanburg County. Orders ship or we deliver them, whichever suits the date better. There is no storefront to drive to, which keeps overhead out of your per-shirt price. Everything else happens by phone and email.

Before the proof is approved, adding pieces is easy and usually just changes the total. After production starts, an add-on becomes a second run at its own minimum of 12. If you think you will need more, build the buffer into the first order. It is cheaper every time.

Twelve pieces for DTF printing and twelve for embroidery. Those twelve can be mixed sizes and mixed shirt colors as long as the design stays the same. Screen printing generally starts at 48 of one design, which is the point where it starts beating DTF on cost per shirt.

Yes, and DTF is the right method for it, because a sponsor block with eight logos in eight different colors costs the same to print as one. Send us whatever logo files the sponsors handed you. We will lay them out, keep them legible at print size and show you a proof.

Use a standard curve unless you already know your crowd. For a general public event, most shops run heavier on large and extra large than on small. If you collect sizes at registration, send us the real numbers. If you do not, tell us the type of event and we will suggest a split.
